Annual General Meeting

Little Kids Golf is having its Annual General Meeting Saturday 18 September 2010 at 9 am at FEDUSA Head Office, 10 Kingfisher Road, Horizon Park, Roodepoort.

Proposed agenda:

1. Attendance and Apologies
2. Welcome
3. Presentation of Annual Financial Statements
4. Voting for New Executive Committee Members
5. Matters Arising

Little Kids Golf requires that all nominations for proposed Executive Committee members be submitted in writing to info@littlekidsgolf.co.za prior to the AGM.

Voting will be carried out at the AGM. Should you not be able to attend a single proxy form may be given to another member who will attend. Please note, no more than one proxy form per member attending.

The Executive Committee will comprise a maximum of 9 (nine) people that can make a positive contribution to the ongoing success of LKG. The success of LKG hinges on obtaining funding, continuing to increase membership and ensuring the company is run according to the requirements of a Section 21 company. Please note the executive committee’s Portfolio’s and duties below.

We are requesting nominations for the following Executive Committee Portfolio’s.

1. Chairperson
The Chairperson is the nominated leader of the organisation. He is responsible to:- convenes and chair meetings of the Executive Committee; chairs the general meetings of the membership; speaks at other meetings and events on behalf of the organisation; represents the organisation on other structures and with other organisations, authorities, funders and the public; deals with disciplinary issues and problems members may have with the organisation; and spends time on strategising and planning as well as monitoring progress of the organisation.

2. Vice-Chairperson
The role of the Vice-Chairperson is to assist the Chairperson. The Vice will assume the role of the Chairperson in his absence. It would be preferable for this person to be independent of LKG, i.e. not have a child who is a member of the organisation, in order for all decisions to be fair and unbiased. It is recommended that this person also be a director of LKG.

3. Treasurer
The treasurer is responsible for managing the money of the organisation. He has to account for all funds raised and spent on a monthly and annual basis.

4. Secretary
The responsibility of the secretary includes:- · ensuring the company’s compliance with the legal framework in South Africa; · letting people know about meetings; · drawing up agendas for meetings; · taking minutes of the Executive meetings and of the general meetings; · following up all tasks and decisions that come out of meetings to make sure they are implemented; writing organisational reports; managing the Administrator.

5. Rules and Discipline
This Executive Committee member is responsible for all aspects involving the implementation of the Rules of Golf and Code of Conduct at LKG tournaments. He must be knowledgeable of golf rules and be able to deal with rulings and irate parents. He must ensure that the Code of Conduct is adhered to and that any infringements are dealt with accordingly.

6. Sponsorship
This Executive Committee member is tasked with obtaining sponsorship for LKG. Without sponsorship in any size or form, this organisation will not survive. This portfolio requires Committee Member to actively negotiate and bringing in sponsorship for LKG. This person will work closely with the Marketing and Promotion Committee Member to ensure that sponsors receive their required publicity.

7. Marketing and Promotion
This Executive Committee member will be responsible for generating new interest in the organisation and increasing the membership numbers.

8. Tournament Director
The Tournament Director is responsible for the smooth and effective running of LKG’s monthly tournaments. This entails negotiating with golf courses to obtain venues at cost effective prices and seconding the necessary personal to run the tournaments. The Tournament Director will report on any issues relating to tournaments to the Executive Committee when necessary.

9. Special Events Coordinator
This Executive Committee Member will be responsible for organising any special or extra ordinary functions held by LKG. This would typically include the annual prize giving ceremony. The Coordinator would be responsible for preparing a budget, obtaining approval from the Executive Committee

10. Representative of the South African Junior Golf Foundation

The Littlekidsgolf organization is a non profit organization founded to provide access to golf courses and competitive play for children aged 5 (Girls Aged 7 & up) through to 12.

Started in August 2004 the organization is supported by the PGA of South Africa and sanctioned by the SAGF (South African Golf Foundation). Littlekidsgolf holds twelve events annually at various golf courses in and around Gauteng and with the SAGF now plan to implement throughout the country.
